If your hotel runs on Clock PMS, an AI agent can handle conversations with guests by phone, in your website chat, on WhatsApp and on Viber: it checks availability and rates in Clock, records the booking directly there and sends a confirmation. Your rooms, rates and bookings are already held in Clock anyway. The hard part is everything that happens before a booking reaches the system. The phone rings at ten in the evening, questions about free rooms are waiting on Viber, and a guest from Germany asks on WhatsApp whether they can arrive after midnight. Reception replies when it can, then types the details into Clock by hand.
With the AI agent, the booking goes into Clock while the conversation is still going on. Our platform then sends the guest the messages for their stay, and the record in Clock determines when each one goes out. What the AI agent for hotels does, whichever PMS you use, is covered on a separate page.
What is Clock PMS+
Clock PMS+ is a cloud-based hotel management system developed by Clock Software. As of October 2026, the company states on its websitethat it is headquartered in Varna, has been developing hotel software since 1996 and launched its cloud PMS in 2013. Also according to the company, Clock is used by more than 1,500 independent hotels in over 50 countries.
Clock also keeps track of each guest's status: whether their arrival is upcoming, whether they have checked in, whether they have checked out. The system also has its own guest messaging module. According to the description on Clock's website , it sends automatic emails after booking, before arrival, during the stay and after departure.
The AI agent does not replace Clock: it handles the conversations with guests and records the bookings that come out of them in Clock. Nor does the agent replace online booking on your website. A guest who knows what they want books on their own, while the agent takes care of the one who asks questions, compares options, writes on Viber or calls.
As of the same date, the Clock integrations catalogue also includes other guest chat tools. We work for hotels in Bulgaria: phone conversations in Bulgarian, guest messages on WhatsApp and Viber, and a team that sets up and maintains the agent together with your reception. Our Clock integration is already running in a live environment at the Grand Hotel Resorts by Pulse hotels. We have explained the difference between an AI agent, an assistant and a chat bot on our blog.
Automatic bookings in Clock PMS: from the guest's question to the confirmation

The guest writes or calls with an ordinary question: ‘Do you have a double room from 12 to 15 July for two adults and one child?’ The agent checks in Clock which rooms are free for those dates and what they cost, then offers several options with their terms. When the guest chooses a room, the agent creates the booking directly in Clock. The confirmation goes out straight away by WhatsApp, Viber or email, with the booking number, dates, room type, terms and total price.
If a guest with an existing booking asks for a change, the agent updates it in Clock. The agent works on Sunday afternoons and at two in the morning, when there is one person on reception or nobody at all, and bookings still go into Clock. Reception sees new and changed bookings where it always sees them. To Clock, a booking from the agent is like any other, so availability on Booking.com and the other online channels is updated just as it is for a booking entered by reception.
The platform also keeps a log of quotes and bookings: room, dates, number of guests, price, status and Clock booking number. From each row you can open the conversation the booking came from.
| Channel | How the guest gets in touch | What they get |
|---|---|---|
| Phone | Calls the hotel's number | A conversation in Bulgarian, a quote, a booking in Clock and a confirmation |
| Website chat | Writes while browsing the rooms | Available rooms and rates for their dates, and a booking in the same conversation |
| WhatsApp and Viber | Writes from their phone, often from abroad | A reply, a booking and a confirmation in the same chat |
In the written channels the agent replies in the guest's language, so the guest from Germany asking about arriving after midnight gets an answer in German.
On the phone, the voice agent takes calls to the hotel's number, speaks Bulgarian and holds the same conversation as in the chat. Every call is recorded along with a full transcript and a short AI summary. When an enquiry needs a member of staff, for example a group booking or a special request, the agent directs the guest to reception and the conversation is flagged as a request for staff. From the summary, the staff member understands what the guest wants before calling them back. There is more about the voice channel on the AI voice agent for hotels page.
How the AI chat agent for hotels takes a conversation through to a booking is shown on its own page. In the guide to a chat bot for your website we compare the types of solution, and the rules for WhatsApp and Viber are in the article on Viber and WhatsApp chat bots for business.
Clock PMS+ in real-world use: an AI receptionist for Grand Hotel Resorts by Pulse
Grand Hotel Resorts by Pulse runs on Clock PMS+. For Grand Hotel Therme, Grand Hotel Bansko and Grand Hotel Sveti Vlas we built a chat and voice AI agent connected to Clock that serves guests day and night. Why the hotels needed an AI receptionist is covered in the article how we built an AI receptionist for Grand Hotels, and there is a short summary in the Grand Assist case study: an AI chat and voice agent for a hotel chain.
WhatsApp confirmations and in-stay messages driven by Clock PMS

The first message after a booking in Clock PMS is the confirmation on WhatsApp or Viber. The rest of the WhatsApp messages follow, and Clock sets the timing of each one: the arrival date, the recorded check-in, the recorded check-out.
| Stage | When it goes out | What it usually contains |
|---|---|---|
| Confirmation | Immediately after the booking | Number, dates, room type, terms and price |
| Before arrival | One or two days before the arrival date | Directions, parking, check-in time, airport transfer |
| Welcome | When the guest is marked as checked in in Clock | Wi-Fi, restaurant and spa opening hours |
| After arrival | The day after arrival | A check that everything is fine, a suggestion for dinner or a spa treatment |
| During the stay | On a chosen day and time, to checked-in guests only | An offer of late check-out, an invitation to an event |
| Departure and review | When the guest is marked as checked out | Thanks and a request for a review |
The messages include the guest's name, dates and booking number. We start from ready-made hotel templates, and you approve every text. Some messages do not depend on the calendar: the guest scans a QR code at reception or writes ‘offer’ on WhatsApp and receives the offer immediately.
When the guest replies, their message arrives in the shared WhatsApp and Viber inbox. The agent answers the questions, and a member of staff can take over the conversation at any time. Once they do, the agent goes quiet. An offer of late check-out or a transfer is an invitation: the guest says ‘yes’, and the team confirms and arranges the rest.
Guest lists from Clock, campaigns and a dashboard for the hotel group
Using the data in Clock, the platform sorts guests into ready-made lists: upcoming guests, guests currently in the hotel and guests who have stayed with you before. You can also create your own lists, organised in folders by hotel or by season.
With these lists you run campaigns: for example, a winter offer to last summer's guests or an invitation to a tasting evening for guests staying this week. Marketing messages, however, are only sent to guests who have given consent. As of October 2026, WhatsApp's business messaging policy also requires the person to have given permission before a business messages them.
Before sending, the dashboard shows which guests are missing consent or a phone number, so you know how many guests qualify. Afterwards you can see which messages were skipped and which failed to send. Reports show sent, delivered and read messages, as well as conversations in which the guest replied.
If you have several hotels on Clock, the platform shows them together, each in its own panel with its Clock connection and the channels its guests use to get in touch. You can view all properties at once or pick one and see:
- arriving, departing, in-house and tomorrow's guests;
- conversations waiting for a reply from a person;
- temporarily paused automations and templates still awaiting approval;
- users and their roles.
In the chat centre, each conversation is labelled by outcome: booking enquiry, booking made, question about an existing booking, question about the hotel, request for staff. Each conversation comes with an AI summary, a sentiment score for the guest and the full transcript. Counters show bookings and quotes for the selected period and the cases where the agent lacked information. Each such case shows us what else the agent needs to learn. Voice calls are reviewed in a separate section of the platform.
How much does an AI agent cost for a hotel on Clock PMS
The price depends on the channels and the number of hotels. Integrating with Clock PMS and launching the agent usually takes a few weeks. From you, we need the hotel's policies and the answers to guests' frequent questions.
Implementing an AI chat agent costs from €1,000 excluding VAT, and monthly support is from €120 per agent. On top of this there is a usage fee based on the agent's workload. We do not charge per message. You will see the exact amount in the quote. Meta's fees for WhatsApp messages, where they apply, are separate and we clarify them in advance. For the voice channel, see the page how much an AI voice agent costs.
Support includes updating the hotel information and monitoring conversations. If you change your pet policy or breakfast times, let us know and the agent will start answering according to the new rules.
Beyond Clock PMS: Oracle, Cloudbeds, Mews and Exely
We also work with Oracle, Cloudbeds and Mews. We confirm which actions and automations each of these integrations covers during the consultation. The Exely integration is in development. If your hotel uses a different system, tell us and we will check what is possible.
